Use AI-assisted conveyancing workflows to track documents, pre-contract enquiries and reviewed updates without automating legal or transaction decisions.

A conveyancing matter can accumulate documents, questions and updates across several systems. A useful assisted workflow makes each outstanding item traceable: what was requested, what arrived, who reviewed it and what remains unresolved.
Start with the case-management system already used by the firm. The first improvement may be a better task view or a supported document register. A separate application needs a clear reason to exist and a reliable way to keep the records consistent.
Define one source of status

Choose the authoritative record for each type of information. For example, the matter system may own enquiry status while the document system owns the original file. An integration should link those records rather than create competing versions of the truth.
Agree what each status means. “Received” indicates that an item arrived. “Reviewed” indicates a professional has checked it. “Resolved” needs the responsible conveyancer's decision. An email response or a completed download should not automatically move an enquiry through all three states.

These fields are an implementation proposal, not a prescribed conveyancing checklist. The firm should adapt them to its transactions and existing systems.

Keep matter enquiries separate from new-client enquiries
Here, an enquiry means a question raised during a conveyancing matter, such as a request for clarification on supplied documents. It is different from a prospect asking the firm for a quote. The client intake guide covers that earlier journey.
Consider a fictional question answered in an email with a revised attachment. Link the reply to the original question and retain the attachment version. Mark the answer received; leave resolution to the responsible conveyancer. If a later message changes the answer, show which decision needs reconsideration.
Client updates should use reviewed statuses. A lender, search provider or another party may control the next dependency. Faster internal administration does not establish that the whole transaction will complete sooner.
Limit AI to an inspectable output
AI can propose a document category, extract specified wording or prepare a draft summary of verified statuses. Require a source reference for each proposed fact and preserve the original document. Flag missing pages and unreadable text.
The conveyancer should be able to compare extracted wording against the correct version. A system that finds a clause has not decided its legal effect, whether further enquiries are required or whether a transaction should proceed.
As a proposed control, keep bank-detail changes, payment actions, exchange, completion and submissions outside this administrative automation. Those actions need the firm's established verification and authorisation procedures.
Make repeat messages safe to process
A duplicate email or retried integration should not create several live enquiries for the same item. Give the source message a stable reference, record processing status and make possible duplicates visible for review.
If the document system is unavailable, hold the update and show the failed connection. Do not tell a client an item was reviewed when the integration only knows that a file arrived.
Evaluate the outstanding-work view
Use a fictional matter with an old and revised document, an unanswered enquiry, a duplicate message and a conflicting update. Check that a reviewer can explain the current state without searching through several disconnected screens.
Measure preparation and correction time, unowned enquiries, source-link errors and status disagreements. Include the time needed to reconcile the system with the matter record. No transaction-speed saving is established until the firm measures the complete process.
